Our client is an investment management firm with offices in London and New York, recently established in Italy. The Milan office will serve as the European hub for the group, with the goal of managing and promoting affiliated EU alternative investment funds.
For the Milan office, we are seeking a bilingual (Italian/English) Office Manager and Executive Assistant to support both the local team and the team based in London.
Workplace location: Milan City Center

Your New Role
You will join a lean, dynamic, and high-level team where precision, efficiency, and organization are essential, with a strong focus on people and collaboration.
The role will report to the Office Manager based in London and to the CEO, and will support as Executive Assistant a London-based team composed of a Senior Principal, Principal, Associate, and Analyst, as well as a Principal based in Milan. You will also be responsible for managing the Milan office.
  • Key responsibilities include:
  • Managing the switchboard and incoming calls
  • Full diary and travel management
  • Coordinating meetings and travel for teams and boards
  • Handling expense reports and personal tasks (e.g., healthcare claims)
  • Filing and document management
  • Welcoming guests and managing meeting rooms
  • Organizing team breakfasts and lunches
  • Managing correspondence and office supply orders
  • Coordinating with vendors, maintenance staff, and building personnel

What You Need to Succeed
  • At least 5 years of experience in similar roles within private equity firms, financial services firms, or structured professional environments
  • Excellent written and spoken English
  • Strong IT skills (Outlook, Word, Excel)
  • Outstanding organizational, interpersonal, and communication skills
  • Attention to detail, flexibility, proactivity, and discretion
